List the services that bill you

Identify your voice provider, telephony account, BoxAgent plan and any connected SMS or email service. Check whether the provider’s reported call cost already includes a carrier component so your estimate does not count it twice. Use the rates shown by your own accounts, because public prices and negotiated terms can differ.

Model a realistic mix of outcomes

A batch can include unanswered calls, voicemail, short conversations and longer successful calls. Use your own early call history to estimate this mix. Do not assume every dial has the same duration or that every answered call produces a booking.

Check rounding, allowances and fees

Look at minute rounding, connected-call fees, included minutes, number charges and any platform markup. In BoxAgent, the rate is saved with an admitted call and usage is reconciled to the ledger. Included minutes affect platform rating; they do not automatically reduce charges from your separately connected provider.

Use limits as part of the launch plan

Set a campaign budget and available wallet balance before increasing volume. Organization and user platform-spend caps include active reservations. An optional automatic top-up can keep a funded workflow running, but should have an amount and monthly limit that fit your operating budget.

Compare the estimate with actual usage

After the first batch, group usage by campaign, agent, user or day. Compare provider cost with platform charges and investigate unresolved calls or payments. Treat the difference as a cost comparison, not as net profit: staff time, acquisition costs and other operating expenses are outside that report.
